Summary:
Provides increasingly responsible administrative assistance to the Manager, & other staff.
Confidential & complex administrative work requiring some specialized knowledge & involving broadly defined policies & procedures & administrative support.
Maintain website & social media accounts.
Plan, develop, organize, & facilitate publications, events, & info & citizen engagement activities.
Duties Include:
Provides executive administration support to the Manager Manage assigned calendars & meeting room schedules Receives & screen visitors, phone calls, email, mail, & social media correspondence; provides info & assistance; refers to appropriate departments Website admin, collaborates with departments to plan, develop, distribute, & update events & info via the website; monitors the website to include troubleshooting & problem solving; handles customer service-related requests & complaints; collects, analyzes, & develops reports about the website's data Develops & edits graphical content, e-forms, e-materials, video/audio, & maintains graphics & logos Develops, compiles, organizes, tracks, records, & distributes a variety of materials/data Writes & edits key internal & external communication materials in an engaging, concise, accurate & appropriate tone; collaborates & creates brochures, posters, flyers, advertisements, & other informational & promotional materials Develops engaging content for the community such as newsletters, infographics, & informational videos; maintain contact logs & issue files; enters data & generates reports Collaborates with department directors to conduct informational activities to keep the public informed of programs, accomplishments, & points of views; edits documents & publications for consistency; develops & recommends communication plans & strategies Provides info needed for consideration Provides clerical support to management across departments Provides general support Takes & transcribes minutes of meetings; compose & send necessary follow-up letters & notices Required to attend City Council & assigned public meetings outside normal working hours to facilitate platform for virtual attendees Maintains office supply levels & orders supplies or advises of necessary purchases Cross trains to provide back-up & office coverage The Jobs for Veterans Act affords priority of service to covered veterans and eligible spouses over non-covered persons for the receipt of employment, training, and placement services.
