Position Summary The Refill Coordinator will be responsible for tracking and monitoring patient refills and prior authorizations.
This position will coordinate medication refills to patients of multiple sites, and coordinate with prescribers, patients, pharmacies, and insurance companies to ensure refills are made and completed in a timely manner.
Requires excellent communications skills.
Key Responsibilities Receive and manage requests for prescription refills via fax and e-prescribe.
Monitor refills for all clinic patients as well as being responsible for requesting the refills of patients from the provider, tracking the refills needed and making monthly reminders calls to the patients to pick up.
Process medication refill requests in the electronic health record and forward to provider for review and authorization.
Talking directly to insurances regarding patient's medication and diagnosis for prior authorizations Track upcoming refills and make reminder calls to patients to pick up their prescriptions.
Receive and manage calls related to prescription refill requests.
Complete prior authorizations for medications, if needed.
This position will work with the patient assistance program to help ensure that patients are able to obtain their medication regardless of their ability to pay for the refill.
Meet established quality and productivity standards and deadlines.
Collaborate with providers and clinical staff to efficiently handle patient services.
Provide outstanding customer service to clients and to ensure a positive image for Klamath Health Partnership.
Follow-up with medical providers and other clinicians as needed to ensure documentation is completed and to eliminate backlogs.
Provide timely and accurate data entry, verifying medications with medical providers as needed.
Ability to work independently and in a fast-paced environment.
Perform other administrative duties, including providing back-up and other coverage needs.

Required Skills:
High School Diploma or equivalent.
At least 6 months of experience working with insurances in a medical field or clinic.
This should entail direct contact with insurance companies Minimum 2-3 years of experience with medical office duties; appointment scheduling and knowledge of different insurance coverage a plus.
Can navigate multiple projects in a timely manner.
Have a proven record of ability to work with providers, MA, pharmacy staff, insurance companies and the staff in a professional manner.
Be proficient with computer usage, electronic medical records (i.
e.
Greenway) and pharmacy operating systems.
Must have absolute knowledge and agreement to adhere to HIPPA requirement for the clinic Strong written and verbal communication skills.
Experience with multiple phone lines, fax, copier, and file maintenance.
Ability to multitask effectively; dependable, organized, and self-motivated.
Proven ability to build relationships with patients and staff; must be service oriented.
Process and deadline driven.
Desired Skills:
Prior experience with navigating insurance companies a plus.
Fluent in Spanish Prior experience in either medical or pharmacy background Bilingual preferred.
